"Project Construction Coordinator — Utility-Scale Renewables
Location: Blackford County, IN (on-site, full-time)
Employment type: Full-time | Compensation: $30-45/hr + benefits
About the role
We're hiring a Project Construction Coordinator to join our on-site team on a utility-scale renewable energy project in Blackford County, Indiana. As the owner's representative, we're the client's eyes and ears in the field — and the PCC is the person who makes sure the documentation, tracking, and site office all hold up.
What you'll do
Document control & management
Keep all project files accurate and properly loaded in the project depository; maintain control of documents in the project database so the team always has current, accessible information
File the daily Plan of the Day (POD) and supporting meeting documentation
Record minutes for project meetings and distribute to attendees within 48 hours
Design and monitor document workflows so they meet contractual and compliance requirements
Review monthly EPC pay applications — verify completed quantities, check lien waivers for accuracy, and send documented approvals to the client
Collect and provide the documentation needed to support client change order review
Tracking & reporting
Make sure all contractually obligated reporting is completed on time and accurately
Identify discrepancies in the EPC contractor's reporting and drive corrections to all-party consensus — this is what safeguards the project against change orders and future disputes
Track project and milestone schedules; flag variances to the client and EPC contractor so schedule submittals and pay apps stay accurate
Enforce contractual requirements for submittals and transmittals; track equipment serial numbers by location from delivery through commissioning and handover to O&M
Track RFI status and surface critical or delayed responses ahead of internal and external meetings
Maintain internal and third-party inspection records
Monitor NCNs related to site activities and prepare weekly summary reports
Track punch list items through final completion
Maintain component binders and job books (digital and hard copy) for installed equipment — solar components, transformers, met stations, substation, and O&M building
Office & logistics management
Manage visitor and vendor sign-in to keep accurate site access records
Track site office supplies, printers, and client-issued equipment
Handle phones, mail logs, and shipping and receiving
Support the on-site team with day-to-day administrative needs
Compliance & conduct
Assist in selecting and training on-site staff on document control, accounting support, and workflow processes
Follow the client's safety, security, confidentiality, and professional conduct policies, including all Contractor Safety Requirements
What we're looking for
3+ years in document control, project coordination, construction administration, or similar
Sharp eye for detail — you catch the discrepancy between what was submitted and what's contractually required
Strong written and verbal communication; comfortable holding contractors to their obligations while keeping the working relationship good
Proficiency with SharePoint, Excel, Word, and PowerPoint; experience with construction document management platforms is a plus
Self-starter who can run the site office independently
Construction or renewables experience is a plus, but we'll train the right person on the industry
Willing and able to work on-site full-time in Blackford County, IN
Working conditions
Nearly 100% of your time is spent in a construction site office in a commercial/industrial construction environment, working with plans, specifications, contracts, schedules, and project control documents. "
